We're hiring an Operations Assistant to join our team in Washington, DC.
Title: Operations Assistant
Reports to: CFO
Based at: Divine Chocolate Main Office in Washington DC
Position: Full time.  Monday through Friday.
Salary: TBD
 
Key Responsibilities related to Order Management:
1. Receive all incoming sales orders after orders have been verified with sales team
2. Create sales orders and ensure each PO is filed with back up documentation as required. 
Process daily by 12pm cutoff
3. Confirmed completed Sales Orders with customer  
4. Transfer sales orders and purchase orders to Operations Manager for communication to 
warehouse and freight lines to arrange pick up/delivery
5. Send all invoices for orders at time of delivery
6. Communicate all sample orders on request to fulfillment warehouse and ensure that all in house 
sample supplies are available and requests fulfilled
 
Key Responsibilities related to AP and Office Management:
1. Review and settle all accounts payable on a weekly basis
2. Responsible for monthly broker payments and backup
3. Assist CFO with bookkeeping and filing duties as assigned
4. Answer phones, route calls to appropriate staff and respond to customer inquiries
5. Respond to customer/public email and mail inquiries
6. Maintain records of complaints and inquiries
7. Maintain and replenish necessary office supplies
8. Respond to complaints with appropriate company protocol
9. Point person for resolving technical issues and ensure office equipment is operational and 
maintained; work with CFO to assess office supply and equipment upgrade needs
10. Ship out samples and material requests from office as requested
11. Responsible for setting up new users for email and network
12. Coordinate office clean up
 
Other duties:
1. Participate in team meetings as required
2. Assist with trade shows, demos and events as needed
3. Assist with inventory counts and periodic warehouse visits as needed
 
Qualifications
4 year college degree required;  classwork or combination of classwork and work experience resulting in 
foundation for accounting, data management, logistics or operations management required.
Must be highly numerate and detail oriented
Previous work experience demonstrating increasing levels of responsibility desired
Calm and professional demeanor; ability to work to deadline under tight time pressures desired
Demonstrated interest in chocolate, fair trade, socially responsible business or ethical food companies
preferred.
